Are the risk assessments legally compliant?

Yes. All risk assessments follow the HSE’s 5-step approach and are aligned to the Management of Health and Safety at Work Regulations 1999. They include hazard identification with legislation references, risk ratings, control measures following the HSE hierarchy of controls, and review schedules. Every signed document includes a liability disclaimer — the responsible person signs, not GetClearSafe.

Every assessment and incident action is logged in an audit trail that’s automatically generated and can’t be edited or deleted from within the app — assessments created, edited, signed off, versioned, incidents reported, investigations updated. The full audit log is searchable, filterable by module, and exportable as a branded PDF report. Invaluable for HSE inspections, insurance audits, and legal defence.

Do prices include VAT?

All prices shown are the total amount payable. ClearSafe Ltd is not currently registered for VAT, so no VAT applies to your subscription. Should we become VAT registered in future, existing customers will receive at least 30 days’ notice before any pricing changes take effect.

How do I cancel?

Cancel any time from Settings → Billing in your dashboard. No exit fees, no long-term contracts. Your access continues until the end of your current billing period.

Is my data secure and backed up?

Yes. All data is encrypted in transit and at rest, hosted on UK servers (Supabase EU-West-2, London region), and fully GDPR compliant. Automatic daily backups are standard. You can export your data at any time. We never sell your data or use it for advertising.

Yes. GetClearSafe is fully compliant with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Where is my data stored?

Your core compliance data — risk assessments, incidents, assets, photos, audit logs — is stored on UK servers (Supabase EU-West-2, London region). Some authentication and operational data is processed by US-based sub-processors (Clerk for sign-in, Stripe for billing, Anthropic for AI, Resend for email, Vercel for hosting) under Standard Contractual Clauses with the UK Addendum, as approved by the ICO under UK GDPR Article 46(2)(c).

Is my data used to train AI models?

No. When AI features (Felix, severity suggestions, RIDDOR checks, document generation) process your data via Anthropic’s Claude API, the data is not used to train Anthropic’s models. Anthropic retains API inputs for up to 30 days for abuse prevention only, then deletes them.

What personal data do you collect in incident reports?

For incident reports, we store the people-related fields (persons involved, witnesses) only in your private database — they are never sent to AI processing. Only the incident description, injury type, hazard type, and severity are transmitted to Anthropic for AI-assisted severity and RIDDOR analysis. The incident form also reminds you to describe events without including names — refer to people by role instead (e.g., “a warehouse operative” rather than “John Smith”).

Who has access to my data?

Only members of your organisation that you have explicitly invited can access your compliance data. ClearSafe Ltd staff do not access your data except as strictly necessary for technical support, and only with your authorisation. Your data is never shared with third parties for marketing or any purpose unrelated to providing the service. Sub-processors (Anthropic, Supabase, Clerk, Stripe, Resend, Vercel) process specific data types under written data processing agreements — the full list is in Section 7 of our Privacy Policy at /privacy.

What happens to my data if I cancel?

You can export all your data from the dashboard before cancelling. After your billing period ends, your data is preserved for 90 days in case you wish to reactivate. After 90 days, your account and personal data are permanently deleted from our active systems. Some records may be retained longer where required by law (e.g., financial records under HMRC rules, or compliance records under the Limitation Act 1980 — typically 6 years). Do you have a Data Processing Agreement (DPA)?

Yes. Our DPA is published at /dpa. Under UK GDPR Article 28, ClearSafe Ltd acts as a data processor for your organisation’s compliance data, and your business remains the data controller. The DPA forms part of our standard terms — no separate signature is required for most customers, though we can countersign your own DPA on request for Business and Enterprise plans.

How do you protect my data?

All data is encrypted in transit (TLS 1.2+) and at rest (AES-256). We use multi-factor authentication for our infrastructure, role-based access controls, automatic daily backups, and regular security reviews. Authentication is handled by Clerk, payments by Stripe (PCI-DSS Level 1 certified), and database hosting by Supabase on AWS infrastructure with industry-leading physical security at AWS data centres.
